Give each request a property reference, accountable owner, next action and visible status. Separate receipt, triage, contractor acceptance, completion and resident confirmation. An AI description may help organise a request, but it must not decide whether a situation is safe. Use established emergency instructions and qualified judgement for urgent hazards. Collect the location, issue description, access arrangements and contact preference through the approved channel. Check for an emergency using the organisation's existing procedure. Assign a coordinator and record the contractor's acceptance. Track outstanding access or approval dependencies.
