Ask one answerable question per uncertain item, with enough transaction context for the client to recognise it. Bundle those items in a controlled request instead of spreading them across email threads. The response should remain linked to the transaction and the reviewer who accepted it. Start with the query tools already available to your practice. Capture a stable transaction reference, date, amount, counterparty as shown and the specific uncertainty. Ask for the information needed to resolve that uncertainty. Avoid presenting a guessed category as the default answer. Send a grouped request with a clear due date and an option to say that the information is unavailable. Mark answers received, accepted or needing clarification. Keep unanswered items visible when the rest of a batch is complete.
