Audit completed jobs and dependencies rather than comparing marketing feature lists. Two tools that both summarise documents may serve different access requirements, file types or teams. Conversely, several paid seats can exist for a task already handled adequately in a bundled product. Start with a named owner for every subscription and evidence of the work that would stop if it disappeared. Collect product, plan, renewal date, seats, actual billed amount and responsible person. Map each to recurring jobs and dependent integrations. Mark usage evidence as observed, reported or unavailable. Ask the owner to identify a replacement for any candidate cancellation. Test that replacement before changing access, then schedule the change around the actual renewal terms.
