Compare tools using your workload, seat requirements and review process. A low monthly headline price can omit usage, integration, training and the time spent checking outputs. Build a first-year model before asking which provider is cheapest. Separate cash expenditure from the value assigned to staff time so the decision does not imply savings that cannot be realised. Define the unit of work: one document processed, one conversation or one completed report. Estimate normal volume and a plausible high-volume month. Obtain current quotes for the exact plan and country. Include minimum seats, billing commitment, usage limits, required add-ons, initial setup and ongoing administration. Record unknown costs as unknown rather than zero.

Do not choose a provider from token prices alone if staff review or integration dominates the finished unit's cost.
